Think of the photograph as identity data with a visual presentation layer. The picture must remain recognisable while the technical delivery matches the receiving system.
Design the output around the paper
For physical photos, the paper is the canvas. Decide the finished photo dimensions, number of copies, spacing and safe margins before exporting the sheet. Then make sure the print dialogue does not rescale the page.
A small test prevents a large reprint
Measure one printed copy after the first run. If it is larger or smaller than intended, stop and correct the scale setting before printing the entire sheet. “Fit to page” is convenient for ordinary documents but can change the physical size of an ID photograph.
Build the A4 sheet deliberately
A4 is 210 × 297 mm. Treat those paper dimensions as fixed, then place the document photos inside the page with margins and spacing. Do not calculate the number of copies from a screenshot; calculate from the actual photo and gap dimensions.

Disable “fit” or “shrink to printable area” when exact physical dimensions matter. If the printer cannot print edge-to-edge, keep the layout inside the printer’s safe margins.
Do not throw away the source
Keep the camera original separate from every edited copy. When another application asks for a different output, starting again from the clean master preserves far more quality than reopening a compressed derivative.
The physical result deserves its own quality check
When the final output is a print sheet, check one physical copy rather than trusting the preview alone. A printer can introduce scaling, border expansion or colour shifts that are invisible in the exported PDF or JPEG. A small ruler or a known reference measurement can confirm the actual dimensions before you produce the full batch.
Practical detail to carry forward
If this is a repeated task, write the destination into your notes next to the final dimensions. A small record is surprisingly useful when the same person later needs another application photo.
